Beauty salon software: bookings, treatment cards and stock
A beauty clinic lives on return visits and skin history, not a one-off appointment. Cosmetics salon software holds the client card, treatment protocol, consent and the next date — instead of a binder and one therapist’s memory.
In a beauty clinic the client returns for a course, not for “whatever is free”. If the acid protocol, last laser date and an ingredient allergy live in a notebook or in one person’s head — the business stands on one employee. Beauty salon software puts bookings, treatment cards, consents and stock in one panel.
What paper cannot handle on a treatment course
- History: which peel, which gap, which reaction — needed on the next visit and when another therapist steps in.
- Consents and before/after photos under GDPR.
- Packages and passes: 5 visits, validity, remaining count.
- Ampoule and consumable stock — no Friday surprise that something ran out.
- A no-show on a 60–90 minute slot is a loss you cannot “squeeze in”.
What beauty clinic software should include
- Online booking with setup time, not only treatment time.
- A client card: intake, contraindications, photos, post-visit notes.
- Packages, passes and an automatic prompt for the next session in the course.
- SMS: reminder, “2 visits left on the pass”, birthday.
- Rooms and staff — a laser cannot run in two rooms at once.
- Stock plus retail on site or online.
Vertical SaaS or your own programme?
Beauty SaaS is strong on calendars. It breaks on your treatment protocol, two locations, a shop, and commissions you “cannot” change. A custom app makes sense when the clinic has its own way of working — and when client history should not live only on someone else’s server.
We start with the calendar and the treatment card, because that removes the biggest pain. Then passes, stock, a second room. Describe treatments, station count and whether you already have a calendar. We will say whether configuration is enough or we need to write something for your protocol.
Frequently asked questions
- Will the system replace the intake notebook?
- Yes — and a deputy can open it when someone is off. A notebook does not scale to a second chair.
- Are before/after photos safe?
- We store them with role limits, consent and on an EU server. They do not go on a public drive.
- Does the client see the whole card?
- No. They see dates, the pass and optional aftercare. Protocol and clinical notes stay with the clinic.
- Can we sell a pass online?
- Yes — payment, validity, visit count. Reception sees what is left on the next booking.
